Period Close Hub

Frequently asked questions

Buying, trying, setting up and using Period Close Hub for Microsoft Dynamics 365 Business Central. For step-by-step instructions, see the user guide.

About the app

What does Period Close Hub do?

It adds a period close role centre to Business Central. Tiles for Receivables, Payables, Inventory, Warehouse, Banking, GST/VAT, General Ledger, Fixed Assets, Projects and Service show what still needs doing at your cut-off date and open the exact records behind each number. Reconciliation worksheets match each subledger to its G/L control accounts and show what explains every difference. Areas are prepared, reviewed and approved, the month is signed off with a snapshot, and an audit-ready close pack prints for your auditors. An information-only System Security & Review section shows each month who can do what.

Which countries and Business Central versions does it support?

Business Central online (SaaS) in Australia and New Zealand, version 28 and later. The GST/VAT area uses the Australian and New Zealand BAS features, so the app isn't available in other countries yet.

Does it change my data?

No. Period Close Hub is read-only on your business data: it never posts, adjusts or deletes ledger entries, documents or journals. Its actions open the standard Business Central pages so you review and run them yourself. It writes only its own setup and records (acknowledgements, sign-offs, snapshots and its log). The one exception is optional and off by default: Close Posting Period Automatically in Period Close Setup updates Allow Posting From in General Ledger Setup when the month is ready.

Pricing, trial and licences

How much does it cost?

Period Close Hub is a per-user subscription, billed monthly or yearly, with a minimum of two users. Prices will be shown on the Microsoft Marketplace (AppSource) listing when the app is released. You buy through Microsoft Marketplace and Microsoft bills you; New Zealand customers pay in NZD.

Is there a free trial?

Yes, one month. Start it around the middle of a month, so that a full month-end close, from the first tiles through sign-off to the close pack, falls inside the trial. If you don't cancel during the trial, the subscription continues and Microsoft bills you for it.

Who needs a licence?

Everyone who opens Period Close Hub: the controller, the people who prepare each area and anyone who reviews or approves. Users without a licence can't open the app's pages. After buying, assign the licences to users in the Microsoft 365 admin center under Billing > Licenses, then give each user the Period Close Hub permission sets for their role.

What happens if our subscription ends?

Users can no longer open the app, but nothing is deleted. Your setup, acknowledgements, sign-offs, snapshots and the Period Close Log stay in Business Central and are there again when you renew. Save each signed-off close pack as a PDF for your records and your auditors.

Can we change the number of users?

Yes. Add or remove licences in Microsoft Marketplace or the Microsoft 365 admin center; billing follows Microsoft's rules for your plan.

Setting up

How long does setup take?

Usually an hour or two: assign the permission sets, choose the cut-off rule and tolerance in Period Close Setup, insert the default reason codes, and set a Starting Point. Then turn on the optional areas you use (Fixed Assets, Projects, Service) and, if you want it, System Security & Review. The user guide has a setup checklist.

We have old differences from our go-live. Do we have to clear them first?

No. Set a Starting Point at the last month end before the first month you close with the app. Differences at that date are brought forward as the opening balance, and from then on each month reconciles only what happened since.

Which GST account goes in GST Clearing Accounts?

The account your GST/VAT settlement posts the net amount to, often called BAS Clearing. To find it, open GST/VAT Entries, filter Type = Settlement, choose Find entries on a recent settlement and look at the G/L entries: the account other than GST on Sales and GST on Purchases is the clearing account.

Who can see what?

Permission sets split the app by role: FLP PERIOD CLOSE for the controller, one FLP PC set per area (AR, AP, Inventory, Banking, GL, Fixed Assets, Projects, Service) for the people who prepare them, FLP PC REVIEWER for reviewers, and FLP SECURITY REVIEW for the security figures. Users see only the areas they have a set for.

Using it

An area says Action Required. What do I do?

Choose its status on the checklist to see the reasons. Each line has a suggested action and opens the record behind it. Fix it in Business Central, or acknowledge it with a reason code if it's explained and you accept it. The area turns Explained once everything left is acknowledged.

How long does an acknowledgement last?

An acknowledged entry (for example a manual journal) stays acknowledged in later months. An acknowledged condition (for example "currency not revalued") lasts only for the cut-off date it was acknowledged for, because it needs checking again each month.

Can I undo a sign-off?

Yes. The controller can reopen the month with a reason. The areas then need approving again, and reopening is recorded in the Period Close Log.

What do the auditors get?

The Period Close Pack: each area's status and reconciliation, the lines that explain every difference, the acknowledged items with who acknowledged them, when and why, the sign-offs, the close commentary and, if it's turned on, the System Security & Review findings. After sign-off it prints from the snapshot, so reprints don't change.

Data and security

Does any of our data leave Business Central?

Your business data stays in your Business Central environment. Business Central sends operational telemetry about the app (installs, errors, slow operations) to Future Ledger AI so we can support it. When you buy or trial the app, Microsoft shares the purchaser's contact and subscription details with us. See our Privacy Policy.

Does it use AI or Copilot?

Not in the current version.

Support

How do we get help or ask for a feature?

Choose Help & FAQ, Get Support or Request a Feature in the Period Close menu of the role centre or on Period Close Setup, or email info@futureledgerai.com. We answer during business hours, Australian Eastern time, Monday to Friday. The licence terms are in the Period Close Hub Terms of Use.

Something isn't working.

Check the troubleshooting section of the user guide first. Common causes: a user without a licence or the right permission set, a cut-off date that isn't the one you expect (see Current Cut-off Date in Period Close Setup), or tiles still showing cached values (choose Refresh on the section).
